User Guide

Welcome! Here's everything you need to get started with Sevyos in the first few minutes. No jargon, no prerequisites — just the steps in order.

First launch (5 min)

Before creating your first invoice, enter your company details. It takes five minutes and you'll only do it once.

  1. Open the app. You'll see four tabs at the bottom: Invoicing, Payment, Cash Flow, Settings.
  2. Tap the Settings tab (bottom right).
  3. Tap "My Company" and fill in your company name (or your name), address, and Swiss IBAN.
  4. Tap "Save". Done — your IBAN will appear automatically on all future invoices.
💡 No account to create, no subscription required to start. Your data stays on your phone.
💡 You can also start without filling in company details — invoices will show "no details" until you add them.

Create and send an invoice

From draft to PDF invoice with Swiss QR code, in under two minutes.

  1. Tap the Invoicing tab (bottom left).
  2. Tap the blue "+ New invoice" button.
  3. In the Client field, type a name or tap "Create a new client". Enter at least a name, then save.
  4. Tap "+ Add a line". Enter the service or item description, price and quantity. You can also pick from your catalog if you have saved items.
  5. Set a due date if you like (e.g. 30 days). This is optional.
  6. Tap "Validate the invoice". The app immediately generates a PDF with the Swiss QR code.
  7. Tap "Share PDF" and choose how to send it: email, WhatsApp, AirDrop or other. Your client receives an official Swiss-format invoice.
💡 Quoting first? The process is identical — just use the Quote tab. When the client accepts, a single "Convert to invoice" button does the job.
💡 Invoice numbers are generated automatically, in sequence, with no duplicates possible.

Pay a bill you received

Paper, PDF or foreign bill: scan, then pay everything at once from your e-banking.

  1. Tap the Payment tab (bottom, 2nd icon).
  2. Tap "Scan a bill".
  3. Point your phone camera at the QR square in the bottom-right of the bill. The app reads the amount, IBAN and reference automatically.
  4. Check the displayed details, then tap "Add to list".
  5. Repeat steps 2 to 4 for each bill to pay. The app archives them as you go.
  6. When ready to pay, select the bills you want and tap "Prepare payment". The app generates a payment file.
  7. In your e-banking: go to "Payments" → import a file → choose the file generated by the app → confirm. Done.
💡 Bill without a QR code (plain PDF, credit note)? Tap "Enter manually" and type in the IBAN, amount and description.
💡 Bills in euros (SEPA)? Supported. The app automatically separates CHF and EUR payments in the file.
💡 One single connection to your e-banking pays all your outstanding bills — even from multiple suppliers.
⚠ The app prepares payments but never executes them directly. You always confirm in your e-banking.

View your cash flow

Inflows, outflows, net result — and a ready-to-send export for your accountant.

  1. Tap the Cash Flow tab (bottom, 3rd icon).
  2. You see: net result for the month, total to collect (your unpaid invoices) and total to pay (your suppliers).
  3. Tap "Month / Quarter / Year" to change the displayed period.
  4. Tap an expense in the list to assign it to an accounting category (rent, equipment, telecom…).
  5. Tap "Export" to generate a CSV to send to your accountant or import into Bexio, Abacus or Excel.
  6. Pro feature (Pro) Tap "Import bank statement" to load your e-banking CSV or camt.053 file.
  7. Pro feature (Pro) The app compares the statement with your invoices and automatically marks matching ones as paid.
💡 Without Pro: mark an invoice paid manually — open the invoice → "Mark as paid".

Import clients and items (CSV)

Have a client list in Excel or a price list in CSV? Import it in seconds.

  1. In Settings → CSV Templates, tap "Import a file (auto-detect)".
  2. Choose your CSV or Excel file. The app automatically recognises the columns (name, address, price…).
  3. Check the column mapping on screen, then tap "Import now".

💡 You can also import contacts directly from your phone's address book: Settings → Clients → "Import from contacts".

Frequently asked questions

My QR scan doesn't work

Hold the phone still at 15–25 cm, in good light. Wait for auto-focus. If the bill is crumpled or very small, move closer. You can also import a PDF of the bill instead of scanning.

My client invoice isn't marked as paid

Option 1: open the invoice → tap "Mark as paid" (available on all plans). Option 2 (Pro): import your bank statement — if the QR reference matches, the invoice is marked paid automatically.

How do I sync the app between my iPhone and my tablet?

Settings → Backup & sync → choose your cloud (iCloud, kDrive, Nextcloud, Google Drive…). On the second device, install the app and restore from the same folder. Sync goes through your cloud, not our servers.

I changed phones — how do I get my data back?

Before switching: Settings → Backup → "Export a backup" to your cloud. On the new phone: install the app → Settings → Backup → "Restore".

How do I send a payment reminder to a client?

Open the invoice → tap "Generate payment reminder". The app creates a reminder PDF that you send like a normal invoice (email, WhatsApp…).

Does the app work without an internet connection?

Yes — fully. Invoice creation, scanning, cash flow: everything works offline. Only cloud sync requires internet (at your request, from Settings).

How do I lock the app with a PIN or Face ID?

Settings → Security → "Set a PIN" (6 digits). Then enable "Quick unlock" for Face ID or fingerprint.

How do I correct an issued invoice?

An issued invoice is legally frozen (Swiss Code of Obligations, art. 957). To correct or partially cancel it, the app generates a credit note (NC-XXXX) that credits the source invoice. The operation is recorded in the chained audit log.
